Privacy Policy
This Privacy Policy explains how ConsultFlow (“ConsultFlow”, “we”, “us”) collects, uses, and protects information when merchants install and use the ConsultFlow Shopify app, and when their customers submit quote requests through it.
Who this applies to
ConsultFlow is installed by Shopify merchants (“merchants”) to run guided quote flows on their storefronts. This policy covers data we process on behalf of merchants (their customers' data) and data about merchants themselves.
Data we process
Depending on how a merchant configures ConsultFlow, we process:
- Customer names and email addresses submitted through a Quote Flow
- Quote request answers (dimensions, product preferences, project details, timelines)
- Project information provided in free-text fields
- Booking information, such as requested consultation times, once booking is available
- Merchant configuration data, such as Quote Flow structure, response templates, and connected email accounts
How we use this data
- To operate the Quote Flow, Request Inbox, and response workflow the merchant has configured
- To send confirmation and response emails on the merchant's behalf, via the merchant's connected Gmail or SMTP account
- To provide the merchant with analytics about their own requests and conversions
- To maintain, secure, and improve the ConsultFlow service
Data storage and retention
Data is stored on infrastructure appropriate to each merchant's plan, including attachment storage via Cloudflare R2. Customer data is retained for as long as the merchant's account is active, or as required to provide the service, unless a deletion request is made.
Your rights (GDPR and similar frameworks)
Where applicable data protection law grants rights of access, correction, deletion, or portability, ConsultFlow supports merchants in fulfilling these requests for their customers' data. ConsultFlow's architecture includes deletion and redaction paths for this purpose.

Third parties
ConsultFlow integrates with services merchants choose to connect, such as Gmail/SMTP for email delivery, Cloudflare for storage, and — where enabled — Google Calendar for consultation scheduling. Data is shared with these providers only as needed to deliver the functionality the merchant has enabled.
